An outbound engine where no account slips through the cracks

Rebuilt outbound so no account quietly falls through the cracks; meetings booked went from 1% to over 6% of assigned accounts

  1. The problem

Outbound ran on no-code tools stitched together by hand. One small change could break three other things, and a failed step often failed silently, with no alert to tell anyone.

  2. What they built

An outbound engine where every target account is always in exactly one clear stage: queued, held, screened, scored, then contacts found or marked exhausted. Before any money is spent, accounts are checked against customers, open deals and do-not-contact lists. Anything that stops gets a named reason, and accounts that were too small or had no good contacts are rechecked automatically every 60 days. Each stage can be swapped or rolled back without touching the others.

  3. What changed

    1% → 6%+ of assigned accounts booked a meeting

The share of assigned accounts that booked a meeting went from 1% to over 6% (above 7% at the time of the talk), with the same team, the same list size and no change to the email copy. Tom credits the scoring, fast iteration and his reps.

  4. So what

Reps only work accounts that pass the screen and score well. Customers and open deals never get a cold email, and good accounts that stall come back on their own instead of dying in a spreadsheet.

Under the hood

For GTM engineers

A coded state machine on Postgres, with one router orchestrating modular, versioned stages: a CRM block-list eligibility check, firmographic triage, around ten enrichment plays (ad spend, tech stack, funding and other signals) feeding one scoring and tiering model, then contact search. Triage rejects and contacts-exhausted accounts recheck every 60 days. Built with Deepline and Claude; new vendors and signals are added as new stages, and a stage is shipped live for a week and reverted if the meeting rate drops.
